Job Description

  • Provides direct support to the Senior Vice President, anticipating needs, summarizing daily and weekly priorities, managing an extensive calendar, resolving scheduling conflicts.

  • Manages requests for action and information to SVP’s attention, and assists in resolving when SVP not available.

  • Communicates on behalf of SVP as appropriate.

  • Drafts, proofreads and edits ocean logistics reports, as assigned.

  • Works with SVP to create keynote presentations, excel spreadsheets, and various reports.

  • Coordinates with Ocean Logistics and Land Logistics team to ensure appropriate communication on key priorities within department.

  • Organizes, schedules and prepares agendas for team meetings; take notes and assigns action items.

  • Arranges travel and itineraries.

  • Manage expense reimbursement process.

  • Maintains contact lists and updates databases, as assigned.

  • Assist in departmental budgeting, and all paperwork and files.

  • Provides support for special projects and other duties as assigned by SVP.

  • Limited personal support.

  • Other duties as assigned by SVP

Qualifications

  • Bilingual Chinese Mandarin preferred

  • Experience in Ocean Logistics, Land Logistics and Freight Forwarding preferred

  • BA or equivalent combination of skills and experience preferred

  • Proven ability to deal with individuals at all levels, both internally and externally, with the utmost respect, professionalism.

  • Experience handling sensitive and confidential information.

  • Ability to take initiative and superior organizational skills.

  • Superior computer skills: knowledge of PowerPoint, Excel, Microsoft Outlook, multiple email account management, and web conferencing tools.

  • Technical savvy to learn new systems and problem solve quickly.

  • Ability to multi-task and prioritize and reprioritize throughout the day.

  • Excellent written English skills, including proofreading, spelling, grammar, and persuasive writing.

  • Easy going personality, ability to take direction, and experience working in a fast paced environment is critical.
