Job Description

•             Conserves MANAGER’s time by reading, researching, and routing correspondence; drafting letters and documents; initiating telecommunications

•             Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data

•             Maintains MANAGER’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel

•             Coordinate all aspect of meeting and travel logistics and itinerary preparation to include advanced research, reservations, and transportation for MANAGER and Buyers.

•             Maintain weekly schedule from Buyers and update Marketing Calendar

•             Prepare MANAGER’s PO Write ups

•             Keep track of monthly trucking rates and follow up on daily trucking reports

•             Prepare and submit MANAGER’s Expense Report as well as reviewing EC Buyers’ Expense Reports

•             Prepare and distribute reports as needed by collecting and analyzing information

•             Copied on all emails associated with Marketing/Customer Service

•             Update Extra Cost summary report and ensure Extra Cost cases are closed out in a timely manner

•             Work with Marketing/Customer Service to proactively implement procedures to reduce future Extra Cost cases from occurring

•             Assist Buyers and Customer Service as needed

•             Maintains customer confidence and protects operations by keeping information confidential

•             There may be additional duties as needed in support of the organization and the MANAGER

Qualifications

•             BA/BS, or the equivalent combination of education and experience.

•             At least 1 year experience supporting C-level executives

•             Advanced computer and technology skills including Microsoft Outlook, Excel, Word, PowerPoint, search engines

•             Must have a strong internal customer service attitude—excellent interpersonal skills and the ability to build relationships

•             Must have excellent written and verbal communication skills

•             Experience working with highly confidential and/or sensitive materials

•             Answer phones, manage voicemail and appropriately respond to external calls

•             Hands-on, high energy work ethic, with an ability to work very effectively as part of an administrative team, and with all levels of the company

•             Must have strong organizational skills and the ability to prioritize multiple competing tasks seamlessly and with excellent attention to detail

•             Must be able to demonstrate forward thinking, problem solve, and propose solutions

•             Must be highly resourceful with the ability to be effective independently and with little direction
