Job Description

As a Facility Coordinator you are fulfilling daily requirements of answering the phone, email and receiving/hosting guests. Also you are the “go-to person” for all Travel, Facility, Communications and first line IT related questions and provide daily support on this to your colleagues for the Rotterdam as well as the UK office.  
Sometimes you might not be able to solve the issue yourself, but then you will contact your colleague, your Manager or external parties. Next to that you will also responsible in supporting the Facility Manager in the maintenance of the building (and its installations & equipment), facility related projects and are the back-up for your colleague

  • You will answer the telephone, general email & mail (send & receive) and handling packages (send & receive)
  • You will welcome & host guests and arrange lunches when needed 
  • Arrange everything regarding travel for all colleagues and external guests when needed
  • You are the 1st contact person for all facility related requests & service calls as well as for the standard IT calls (1st line support) and fixed line phone issues (hardware/services)
  • Keeping meeting rooms, canteen, storage and pantries tidy and make sure all supplies are present (daily service rounds) and on stock
  • Pro-actively ensure that all office equipment is functioning well, resolve malfunctions or involve third parties 
  • Contact non trade vendors to negotiate offers, prepare purchase of all facility related items, order them by following the approval process and handle invoices
  • Responsible to keep all facility, travel and IT master files & manuals updated
  • Support the Facility Manager in facility projects in an organized and timely manor
  • Evaluate requests, issues and processes of travel & facility and provide possible improvements 
  • Ad hoc tasks

Qualifications

  • MBO education
  • 2-5 years relevant experience in a similar position
  • Service minded
  • Affinity with Facilities and IT
  • Fluency in Dutch and English
  • Good knowledge of Microsoft Office software
  • Excellent communication skills
  • Good organizational skills and common sense
  • Excellent, proactive service level & mindset
  • Good at prioritizing
