Reboot Staff is seeking a highly organized and detail-oriented Event Coordinator to join our Madison, WI team. This role involves planning and executing events from concept to completion, ensuring a seamless experience for clients and attendees. Responsibilities

  • Coordinate all aspects of event planning and execution, including timelines, logistics, vendors, and on-site support

  • Communicate with clients to determine event requirements and expectations

  • Source, negotiate, and manage vendors, venues, and suppliers

  • Monitor budgets and ensure events stay within financial parameters

  • Supervise event staff during execution to ensure all elements are running smoothly

  • Conduct post-event evaluations and generate detailed reports

  • Maintain event documentation, contracts, and scheduling tools

Qualifications

Qualifications

  • Bachelor’s degree in Event Management, Hospitality, Communications, or a related field (or equivalent experience)

  • 1–3 years of experience in event coordination or project management

  • Strong organizational and time management skills

  • Excellent communication and negotiation abilities

  • Proficiency in MS Office and event management software

  • Ability to work flexible hours, including some evenings or weekends as needed

  • Proven ability to manage multiple projects simultaneously under pressure
