Job Description
We are seeking a highly organized, detail-oriented, and proactive Admin/Accounts Officer to support the administrative and financial operations of our Facility Management (FM) site within a leading energy company. The successful candidate will be responsible for maintaining accurate financial records, supporting procurement and inventory processes, coordinating site administration, and ensuring compliance with company policies and client requirements.
Key Responsibilities
(A) Administrative Responsibilities
- Provide day-to-day administrative support for the facility management site.
- Maintain accurate filing systems (physical and electronic) for operational and financial documents.
- Prepare correspondence, reports, meeting minutes, and presentations as required.
- Coordinate staff attendance records, leave schedules, and timesheets for payroll processing.
- Manage office supplies, consumables, and stationery inventory.
- Coordinate travel arrangements, logistics, and accommodation where required.
- Liaise with vendors, contractors, and client representatives on administrative matters.
- Ensure proper documentation of invoices, delivery notes, purchase orders, and service reports.
- Support compliance with company policies, HSE requirements, and client procedures.
(B) Accounts Responsibilities
- Process supplier invoices and ensure timely payment requests.
- Raise purchase requisitions and monitor procurement documentation.
- Maintain petty cash records and perform regular reconciliations.
- Prepare daily, weekly, and monthly financial reports for management.
- Monitor budget utilization and track site operational expenses.
- Reconcile vendor statements and resolve payment discrepancies.
- Support month-end and year-end financial closing activities.
- Maintain asset registers and inventory records.
- Assist during internal and external audits by providing required documentation.
- Ensure accurate record-keeping in accordance with company financial policies.
Qualifications
- Bachelor's Degree or HND in Accounting, Finance, Business Administration, or a related discipline.
- Minimum of 3 years' relevant experience in an administrative and accounting role.
- Previous experience in Facility Management, Engineering Services, Construction, Oil & Gas, Energy, or Property Management will be an added advantage.
- Strong knowledge of accounting principles and financial record management.
- Proficiency in Microsoft Excel, Word, and accounting software or ERP systems.
- Excellent numerical, analytical, and organizational skills.
- High level of integrity, confidentiality, and attention to detail.
- Strong written and verbal communication skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment
