Role Summary

We are seeking a highly skilled and experienced Contract and Procurement Manager to oversee the contract administration, vendor management, and procurement activities at Alpha Mead Group. As the Contract and Procurement Manager, you will ensure compliance with organizational policies and procedures, foster strong vendor relationships, and optimize procurement processes.

Responsibilities

  • Serve as the Tender Board Secretary, facilitating effective decision-making in contract award reviews and approvals.
  • Prepare, review, and negotiate contracts with vendors and contractors, collaborating closely with the Alpha Mead Group.
  • Develop and execute strategies for efficient vendor management, including issuing invitations to tender, requests for quotations or information, and other tender initiation documents.
  • Manage the registration and prequalification process for prospective contractors/suppliers.
  • Maintain and update a comprehensive Contractors/Suppliers database, ensuring an adequate number of vendors in each category.
  • Address vendors' complaints promptly and engage in proactive vendor management activities.
  • Ensure proper filing of all contract and procurement-related documents and correspondences.
  • Conduct annual vendor evaluation exercises and provide comprehensive reports to the management team.
  • Re-evaluate vendors to ensure adherence to ISO standards and requirements.
  • Plan and organize annual vendor forums to foster collaboration and improve relationships.
  • Coordinate the procurement of materials and consumables for Alpha Mead Facilities and subsidiaries.
  • Collaborate with the Storekeeper to ensure the timely distribution of required materials to project sites.
  • Evaluate quotes/tenders and make recommendations for contract awards.
  • Work with Contract Holders to develop standards and criteria for material/work/service specifications.
  • Analyze and evaluate procurement requests, managing and updating the site request tracker.
  • Assist the Head of Department (Contract and Procurement) in developing plans and strategies for contract and procurement activities.
  • Perform other related duties as required by management

Qualifications

  • Bachelor's degree in Business Administration, Law or relevant field 
  • Minimum of 6 - 8 years of experience in contract and procurement management.
  • Strong customer/vendor relationship management skills.
  • Proficiency in Microsoft Office, including PowerPoint, report writing, and communication skills.
  • Knowledge of spreadsheet and database management, word processing, and job-specific software.
  • Ability to maintain clear and accurate records and reports.
  • Strong interpersonal skills and the ability to build credible relationships.
  • Experience in managing and developing teams.
  • Solid commercial and financial accounting background, including a comprehensive understanding of balance sheets and cash flow.
  • Flexibility and adaptability in a fast-paced environment.
  • Strong analytical and negotiation skills, with familiarity in computer-oriented procurement systems.
  • Excellent communication and problem-solving abilities, with a track record of meeting goals and deadlines.
