Job Description
As a Recruitment Operations Coordinator, you will support client recruitment teams and contingent workforce programmes by providing exceptional candidate care, workforce administration, and recruitment coordination services. You will be responsible for managing a variety of administrative activities throughout the recruitment lifecycle, from sourcing and interview coordination through to onboarding, contingent worker extensions, and offboarding.
As a Recruitment Coordinator, you will possess strong attention to detail and accuracy, with the ability to identify and mitigate potential risks associated with recruitment, onboarding, and workforce administration processes. You will help drive a best-in-class experience for candidates, hiring managers, and contingent workers while acting as an ambassador for the Allegis Global Solutions brand.
Your duties may include, but are not limited to:
Contingent Workforce Administration
Onboarding
- Coordinate the onboarding of contingent workers in accordance with client processes and timelines.
- Raise and process Workday forms required to onboard new contingent workers.
- Ensure all worker data and supporting documentation are accurate and complete prior to start date.
Extensions Management
- Monitor contingent worker assignment end dates through Workday reports.
- Proactively engage hiring managers approximately six weeks before assignment end dates to determine future workforce requirements.
- Follow up with hiring managers and stakeholders until extension or termination decisions have been confirmed.
- Process approved assignment extensions in a timely and accurate manner.
- Maintain accurate records and ensure compliance with contingent workforce policies and procedures.
Offboarding
- Coordinate the offboarding of contingent workers at the completion of their assignments.
- Raise and process Workday forms required for contingent worker terminations.
- Ensure all offboarding activities are completed accurately and in line with client requirements.
Qualifications
- Previous experience in administration, recruitment coordination, workforce administration, or a similar support role.
- Experience working with HR systems such as Workday is desirable.
- Prior recruitment, onboarding, or contingent workforce administration experience.
- Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
- Excellent attention to detail and commitment to accuracy.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office applications, including Outlook and calendar management tools.
- Ability to work effectively in a fast-paced environment and deliver results within tight deadlines.
- Strong stakeholder management and customer service skills.
