Job Description
The Program Specialist is responsible for building and maintaining relationships with Hiring Managers and managing the full lifecycle of the requisition process including requisition intake, shortlisting, sourcing management, onboarding, worker assignment management, time and expense management, offboarding, and reporting. The Program Specialist acts as a talent advisor to support our clients through the requisition fulfillment process to ensure quality talent is acquired promptly.
Responsibilities:
- Assist hiring managers during all stages of the contract labor acquisition process including requisition intake, sourcing, candidate shortlisting and interview scheduling, offer to onboarding, and contractor management.
- Demonstrate recruitment expertise by preparing insightful questions appropriate for the position before conducting req intake sessions with hiring managers to gather detailed job descriptions to distribute to the supply base. Document req intake conversations in the appropriate database (VMS: Fieldglass, Beeline)
- Utilize reports to manage open requirements to advise managers on the status of requirements and monitor supplier sourcing strategies to ensure timely response.
- Discuss with the Hiring Manager to set/manage expectations, timeframes, feedback, roles, and responsibilities of everyone involved in the requisition fulfillment process.
- Coach, manage, and oversee the performance of participating staffing suppliers.
- Document all client/supplier reported issues and track resolution through to completion ensuring a high level of customer satisfaction in the appropriate system/tool.
- Monitor performance against contract SLAs, requisition aging, invoicing, time and expense entry, and vendor compliance tracking.
- Maintain and update monthly activity and performance reports.
- Provide constant interaction via face-to-face, VC, email, and phone with clients, staffing vendors, and other partners.
Qualifications
- Thorough understanding of end-to-end recruitment process methodology, preferably contract recruitment (contingent workforce management)
- If you come with MSP experience or contract hiring experience, that would be greatly beneficial.
- Successful experience managing multiple requisitions and stakeholders, at different stages of the recruitment lifecycle.
- Well-organized and capable of keeping track of end-to-end requisitions with a high degree of follow-through and proof of execution.
- Strong written and verbal presentation skills
- Ability to interpret data from a variety of internal and external sources and predict trends, cascading market intelligence to stakeholders, whilst adding value throughout their remit
