Job Description

Executive assistant

The Executive Assistant is responsible for exercising discretion and judgment in assisting one or more executives. This position performs executive support tasks, which may be highly confidential and sensitive in nature, utilizing considerable independent judgment. This position performs high-level administrative work, including organizing, scheduling, coordinating, researching, compiling, exchanging and analyzing information for executive(s) and the department.

Main Activities/Responsibilities: 

  • Effectively coordinating executive functions applying organization and time management skills;
  • Process and manage confidential material and information with a high level of discretion;
  • Manage critical reporting, including receiving data from plants, entering it in a database, completing calculations, creating multiple tables and graphs, building several reports in different formats, distributing the reports, and looking for improvement opportunities.;
  • Provide support to the executives' teams to increase productivity and efficiency of the teams;
  • Display expertise using the MS-Office suite to prepare documentation, decks, data and other materials as assigned;
  • Schedules, coordinates and maintains appointments and meetings for executives and their direct reports;
  • Minute-taking during key meetings, printing, scanning, emailing, storing and retrieving documents, processing payments to vendors, etc.;
  • Organize the details of special events, travel arrangements, corporate agendas and itineraries;
  • Plan and coordinate corporate meetings, develop presentations for related on and off-site meetings;
  • Manage inbound communication, including the management of office visitors;
  • Organize and maintain all executive data and files and ensures office supplies are fully stocked and maintained;
  • Ensure maintenance of office supplies;
  • Schedule and prepare all travel plans for the executive. Prepare and submit for review the executive’s travel and entertainment expense reports and ensure all reports are processed and filed in a timely manner;
  • Manage unexpected travel schedule changes and provide resourceful and creative solutions as needed;
  • Manage invoicing;
  • Work in various projects aimed at improving the awareness of safety across the company.  This includes electronic communications, marketing, mailings, printed information, awards and others.;
  • Project work: identify, plan, and develop improvement projects related to the various admin functions described above.

Qualifications

  • Bachelor's degree in Business Administration or related field.
  • 5 years of Executive Assistant or equivalent experience that provides the necessary skills, knowledge, and abilities.
  • Excellent oral and written communication skills.
  • Excellent working knowledge of computers and company standard software.
  • Excellent organizational skills and ability to prioritize work.
  • Customer oriented, have a positive attitude.;
  • Ability to use independent judgment and initiative and to anticipate the needs of executive(s) and accomplish tasks without direction.
  • Excellent skills in proofreading of documents for spelling, grammar, punctuation, and presentation.
  • Ability to exchange information clearly and concisely and to present ideas, report facts, and other information.
  • Ability in Project Management;
  • Proficient and experienced in the Microsoft Office Suite, on-line travel reservation tools, expense filing software, etc.
