Job Description

We are looking for a detail-oriented Office and Staff Management Lead to join our team, reporting directly to the CFO. In this role, you will be the operational backbone of Afficiency — the person who makes sure the office runs, the calendars align, and the people-side of the business (onboarding, benefits, records) never falls through the cracks.

You will sit at the intersection of operations, administration, and human resources, helping us scale our mission to reinvent the life insurance buying process by making it 100% digital, easy to understand, and accessible to everyone.

This role is ideal for someone who is based in the New York, NY area, is a self-starter, and works just as productively in the office as remotely.

Qualifications

Responsibilities

Office Management

  • Own the day-to-day upkeep of our NYC office — supplies, vendor relationships, mail/deliveries, facilities issues, and general office presentation.
  • Ensure the space is stocked, functional, and welcoming for the team and visitors.

Executive & Administrative Support

  • Provide administrative support to the CFO and broader leadership team, including calendar management, meeting coordination, travel booking, and expense report preparation.
  • Keep leadership organized and freed up to focus on strategic work.

HR & People Operations

  • Coordinate new-hire onboarding end-to-end (paperwork, equipment setup, first-day logistics, orientation scheduling) and manage offboarding checklists to ensure a smooth, compliant transition in both directions.
  • Support benefits administration (enrollment, questions, vendor coordination) and maintain accurate, confidential employee records.
  • Serve as the day-to-day lead on HR compliance and policy — maintaining the employee handbook, tracking federal/state/local employment law changes, ensuring required postings and trainings are current, and flagging risk areas to leadership before they become issues.
  • Coordinate employee timekeeping and PTO tracking, ensuring records stay accurate and up to date.

Recruiting

  • Own the recruiting process for open roles — writing and posting job listings, managing candidate pipelines, screening resumes, conducting initial phone screens, and coordinating interview scheduling with hiring managers.

Marketing & Company Presence

  • Manage our LinkedIn company page and other marketing/social channels — scheduling posts, sharing company updates and job openings, and keeping our online presence active and on-brand.
  • Support marketing with basic asset coordination and posting to other marketing services as needed.

Vendor, Systems & IT Support

  • Manage relationships with office and HR vendors (facilities, benefits brokers, HRIS, office supply vendors), ensuring contracts, renewals, and invoices are tracked and handled on time.
  • Assist with basic IT systems and equipment support — setting up new-hire hardware and accounts, troubleshooting common employee tech issues, and coordinating with outside IT vendors as needed.

Culture & Events

  • Plan and execute team events, offsites, and culture-building activities that keep the team connected, including in a hybrid environment.

Must Have

Experience

  • 1–3 years of experience in office management, administrative support, HR, or a related operational function.

  • Comfortable wearing multiple hats — from office operator, to executive assistant, to HR administrator.
  • Highly organized and detail-oriented, able to track many moving pieces at once.
  • Discreet and trustworthy with sensitive employee and financial information.
  • Thrives in an environment where not every process is written down; proactive and resourceful.

Success Criteria

Within the first 3 months, the candidate will:

  • Fully own day-to-day office operations and vendor relationships with no disruption to team productivity.
  • Run new-hire onboarding and offboarding independently and compliantly.
  • Establish and maintain HR compliance documentation and policy tracking.
  • Lead recruiting.
  • Build a consistent cadence for the company's LinkedIn and marketing presence.
