Job Description

Reporting to the Precinct Associate Director of Sales, the Precinct Conference & Events Executive is responsible for the end to end planning, coordination and execution of all confirmed conference, events and group accommodation business across Pullman, Novotel and ibis Sydney Olympic Park.

This role is responsible for developing and maintaining strong client relationships to ensure exceptional customer satisfaction while delivering seamless event experiences from the completion of the sales handover through to event delivery, billing and post-event follow-up. The successful candidate will take ownership of all event coordination activities, working closely with clients and hotel operational teams to ensure events are executed to the highest standard while maximising commercial opportunities and driving repeat business.

What you'll be doing:

  • Managing the end to end coordination of confirmed conference and event business, from sales handover and planning through to on-site execution and post-event follow-up.
  • Building and maintaining strong relationships with conference and event clients to drive repeat business and long-term partnerships.
  • Meeting and hosting clients before, during and after events to ensure service excellence and identify future opportunities.
  • Handling conference and event enquiries and communications professionally across phone, email and online channels.
  • Proactively identifying opportunities to maximise revenue through upselling, menu enhancements, room utilisation and value-added offerings.
  • Coordinating and hosting client site inspections, familiarisations and showcase events.
  • Maintaining ownership of BEO standards, ensuring event documentation is accurate, detailed and distributed in accordance with best practice.
  • Collaborating closely with Food & Beverage, Kitchen, Banquets, Front Office and Reservations teams to deliver seamless events.
  • Maintaining accurate client information, event details and financial records within Delphi and other hotel systems.
  • Managing event postings, invoicing and financial reconciliation to ensure revenue is accurately captured and reported.

Qualifications

What you'll bring:

  • Minimum 2 years' experience within Conference & Events, Hospitality Sales or a similar hotel-based environment.
  • Tertiary qualifications in hospitality management or similar
  • Previous experience coordinating and managing conference and event business from enquiry through to event delivery.
  • Exposure to reactive and/or proactive sales environments within hospitality.
  • Experience using Delphi, hotel property management systems or similar event management platforms (highly regarded).
  • Exceptional communication, negotiation, networking and relationship-building skills.
  • A thorough understanding of the conference and events market and emerging industry trends.
  • Outstanding organisational and time management skills, with the ability to manage multiple priorities simultaneously.
  • A proactive and self-motivated approach with the ability to work independently.
  • Strong attention to detail and problem-solving skills.
  • A passion for hotel operations and delivering exceptional guest experiences.
