Job Description

  • Perform his/her duties according to the practices, operational instructions, standards, and procedures established by the Front Office Manager.
  • Be responsible for performing all services assigned during his/her shift in the most professional, efficient, and appropriate manner.

  • Follow up on all notes and instructions recorded in the Front Office Log Book and take the necessary action accordingly.

  • Personally conduct the check-in procedures for VIP guests and ensure that all complimentary services and special arrangements are properly provided.

  • Be fully informed of the hotel’s current occupancy, room availability, arrivals, departures, and expected movements.

  • Monitor payments and financial arrangements related to individual reservations and ensure that all procedures are followed correctly.

  • Control all forms, records, reports, and documents completed during the shift and ensure their accuracy and completeness.

  • Organize the shift effectively and ensure proper discipline, order, and smooth operation within the Front Office area.

  • Supervise and control the work arrangements and daily activities of Bellboys/Doormen assigned to the shift.

  • Control all accommodation cards, guest documents, registration forms, and materials issued to guests.

  • Monitor and control the check-in procedures of all arriving guests and ensure compliance with hotel standards.

  • Prepare, review, and submit all daily reports and required Front Office forms accurately and on time.

  • Control and verify the money collected by Receptionists at the end of each shift and ensure proper handover procedures are followed.

  • Ensure that all guest messages, faxes, correspondence, and other communications are received, recorded, and delivered promptly.

  • Check the accuracy of amounts invoiced to travel agencies and other accounts after guest check-out.

  • Monitor all financial transactions within the Front Office Department, identify the source of transactions, and ensure they are properly recorded and completed.

  • Monitor all room changes and ensure that the Housekeeping Department and other concerned departments are informed immediately.

  • Report operational problems, guest complaints, incidents, and irregularities to the Front Office Manager without delay.

  • Maintain effective communication and coordination with Housekeeping, Technical Services, Security, Food & Beverage, and other concerned departments.

  • Ensure the proper arrangement, discipline, appearance, and performance of all employees working during the shift.

  • Ensure that all official documents, forms, records, and reports are completed accurately, completely, and in an organized manner.

  • Comply with all hotel policies, procedures, rules, and regulations and ensure that subordinate employees comply with the same.

  • Provide managers with complete, accurate, and timely information regarding all relevant operational matters.

  • Distribute daily tasks and responsibilities among team members according to operational requirements and business needs.

  • Attend Front Office Department meetings and communicate relevant information and instructions to the team.

  • Encourage employees to develop new ideas, improve operational procedures, and increase productivity and service efficiency.

  • Promote positive working relationships, teamwork, cooperation, and effective communication among all employees.

  • Attend all required training programs and encourage team members to participate in relevant training and development activities.

  • Ensure the highest level of guest service and encourage employees to provide excellent hospitality, recognizing the importance of guest satisfaction in the hotel’s sales and marketing objectives.

  • Monitor daily occupancy levels, forecasts, arrivals, departures, and room availability in order to support effective Front Office planning and operation.

  • In accordance with hotel policies and procedures, manage and audit the department, establish operational targets, communicate them to employees, and follow up on their achievement.

  • Protect and enhance the image, reputation, standards, and service philosophy of the hotel and ensure that employees act accordingly.

  • Follow up on all outstanding matters recorded in the Log Book and ensure that pending issues are properly resolved and handed over.

  • Ensure that guest services, check-in, check-out, and all Front Office procedures are carried out according to the hotel’s standards and hospitality philosophy.

  • In the absence of the Front Office Manager, ensure that external and internal correspondence is handled professionally, accurately, and without unnecessary delay.

  • Ensure that all guest records, statistical information, registration documents, and Front Office reports are maintained accurately and submitted to the Front Office Manager on time.

  • Support the proper orientation and integration of new employees into the Front Office team and ensure they understand hotel standards and procedures.

  • Prepare, review, and monitor weekly duty schedules in accordance with operational requirements, staffing levels, and approved manpower plans.

  • Follow up closely on VIP reservations, special occasions, guest preferences, and special requests to ensure all arrangements are properly prepared and delivered.

  • Ensure that all subordinate employees maintain appropriate personal appearance, grooming, hygiene, and professional conduct according to hotel standards.

  • Assist in defining the general distribution of duties and responsibilities within the Front Office Department according to operational requirements.

  • Support the hotel’s environmental sustainability objectives by minimizing unnecessary consumption of materials and equipment, including paper and printed documents, and participating in activities aimed at protecting biodiversity and the environment.

  • Implement departmental instructions and training related to energy conservation and ensure compliance with approved energy-saving practices.

  • Ensure that waste is handled, separated, and disposed of properly in accordance with hotel procedures and applicable environmental requirements, while supporting efforts to reduce pollution and environmental impact.

  • Carry out all responsibilities related to the quality management systems implemented within the hotel and ensure compliance with applicable standards and procedures.

Qualifications

 

  • Education: Bachelor`s Degree.
  • Experience: At least 5 years of related work experience following theoretical education, preferably with supervisory experience in Front Office operations.
  • Foreign Language: Sufficient level of English to communicate effectively with guests and employees. Knowledge of additional foreign languages is an advantage.
  • Courses and Training: Prior attendance in seminars and trainings related to Front Office operations, guest relations, customer service, leadership, and hotel operations.
  • Computer Literacy: MS Office applications, Front Office programmes (Fidelio, Opera, etc.).
  • Skills: Knows, applies, and ensures the application of all Front Office and Lobby services and product ranges in the related field. Has knowledge of other hotel departments and the processes that affect Front Office operations. Expected to have expertise, acquired through technical training and long-term work experience, concerning hotel standards, guest service procedures, VIP handling, check-in and check-out procedures, room status, guest requests, and Front Office work processes. Has excellent command of guest profiles, preferences, and special requests. Trains his/her team on these and instructs them on how to address and communicate with guests professionally. Has strong leadership, communication, problem-solving, decision-making, and organizational skills and is able to ensure the smooth and efficient operation of the Lobby and Front Office during his/her shift.
