Job Description
Under the general guidance of Director of People & Culture, assist in ensuring a variety of Human Resources functions. He/she is also responsible for compiling and maintaining personnel records and providing pertinent information to authorized individuals. The P&C Coordinator ensures that documents are accurate and processed and filed in a timely manner. He/she has an understanding for and enforces company policies and that of the Employment Act. He/she will be assisting with recruitment, employee relations, and employee engagement.
Duties & Functions:
- Familiarize self with all new hires at the Hotel on-boarding session. Prepares new employee files.
- Assists with recruitment and interview process. Schedules meetings and interviews as requested by the People and Culture Manager.
- Tracks status of candidates in Smart Recruiter and responds with follow up letters at the end of the recruiting process.
- Conducts audits of training attendance, LMS system training attendance and other HR systems.
- Manage Connect to ensure they are kept up to date with all employee details on a weekly basis
- Manage and update all employee personnel files, paper and electronic. Files papers and documents into appropriate employee files.
- Assist with the maintenance and delivering all monthly human resources reports including but not limited to, employee turnover, headcounts, disciplinary matters
- Assists with processing of resignations and terminations
- Performs employee relations by assisting with various employee requests and situations as needed
- Engage and be proactive in liaising and working with other departments
- Must be flexible in work practice and business needs while being approachable at all levels
- Makes photocopies, faxes documents, prepares mail and performs other clerical functions
- Provides support and guidance to P&C management, and other staff when complex, specialized, and sensitive questions and issues arise; may be required to administer and execute routine tasks under delicate circumstances such as providing reasonable accommodations, investigating allegations of wrongdoing, and terminations
- Support the onboarding process by providing appropriate onboarding documents, welcoming new hires, coordinating first day and necessary training including safety, policies, new hire orientation
- Assist in reward and recognition programs
- Assist with conducting exit interviews and respond to unemployment claims
- Conduct New Hire Orientation training and any other HR trainings as needed
- Continuous daily support to hotel team members and management team
- Support all employee relations items, including but not limited to creating monthly calendars, newsletters, birthday lists, flyers, coordinating and attending employee events, attending pre-shifts and departmental meetings, engaging with team members
- Answers phone calls, responds to emails and manages the administrative needs of the HR office
- Manage Instagram and other social media postings, ensure postings are timely and align with the brand while promoting our value of fun and comradeship
- Create flyers, postings, general communication using Canva, promote employee activities
- Ensure compliance with all HR and related Security standard operating procedures
- Assist with 30 day, 90 day, mid-year and yearly employee reviews
- Any other reasonable duties as assigned by the supervisor or manager
- We recognize we are in the hospitality industry and that may require us to provide lateral service. We will on occasion call for each individual in the team to on a routine basis perform various related tasks as needed in the spirit of providing exceptional service

- Communicate effectively, both verbally and in writing, to provide clear direction to the venue teams.
- Communicate with employees using a positive and clear speaking voice, listen to and understand requests, respond with appropriate actions and provide accurate information.
- Remain calm and alert, especially during emergency situations serving as a role model for team and other employees.
- Make decisions and take actions based on previous experience and good judgment, sometimes revising procedures to accommodate unusual situations.

Qualifications
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
- College Degree in Human Resources Management, Psychology, Business, Hospitality, or Related field preferred.
- At least one (1) year in position experience, preferably in an upscale or lifestyle brand hotel
- Ability to create, implement and monitor hotel and staff goals, strategies and policies
- Ability to be resourceful, creative and maintain flexibility
- Ability to train, motivate, evaluate, mentor and direct employees and managers to meet desired ends
- Ability to maintain excellent relations with staff and maintain staff and guest confidentiality at all times
- Proven team leader with a high level of energy and motivation with a proven track record of living the company's values
- An intermediate to proficient understanding of Computer systems such as: Opera, Microsoft Word, Excel & Outlook is preferred
- Enter and locate work related information using computers and/or point of sale systems
- Ability to spend extended lengths of time viewing a computer screen
- Possess a gracious, friendly, and fun demeanor
- Ability to multitask, work in a fast-paced environment and have a high level attention to detail
- Maintain positive and productive working relationships with other employees and departments
- Ability to work independently and to partner with others to promote an environment of teamwork
- Must be able to stand or walk a minimum eight-hour shift.
- Must be able observant and quick to respond to various situations while also multitasking and handling stressful situations.
- Must be able to twist, tow (push or pull), reach, bend climb and carry objects as necessary.
- Must have excellent communication skills and be able to read, write, speak and understand English.
- Must be able to work inside and outside at all times of the year as needed, based upon business volumes.
- Knowledge of federal, state and local laws governing equal employment opportunity and civil rights, occupational safety and health, wage and hour issues, and labor relations
Additional Information
SAFETY REQUIREMENTS
Personal Protective Equipment (PPE) may be required when performing work duties that may have the potential of risk to your health or safety. The restaurant will provide the required PPE. Team members will be trained in the proper use and care of any assigned PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly, to your Manager.
Requires ability to lift large and heavy packages and boxes and to the ability to load and unload small and large boxes as needed. Must have ability to safely lift minimum of 50 lbs. without assistance and to push and pull up to 150 lbs. with appropriate equipment.
GROOMING/UNIFORMS
All employees must maintain a neat, clean and well-groomed appearance. Specific uniform guidelines and/or required articles of clothing will be explained to you as a part of the orientation process.
OTHER
Additional language ability preferred.
