Job Description

Summary of Responsibilities:       

Reporting to the Director of Technical Events, responsibilities and essential job functions include, but are not limited to, the following:

  • Provide administrative support to ensure efficient operation of office
  • Maintain supplies
  • Answer phone calls
  • Coordinate meeting schedules
  • Manage the team email account via Outlook
  • Respond to client and internal queries, creating quotes as needed
  • Create and maintain Excel spreadsheets, Word documents and PowerPoint presentations
  • Assist with internal reporting and documentation
  • Ensure vendor invoices and client billing is up to date
  • Product research for potential departmental purchases
  • Consistently offer professional, engaging and proactive support for colleagues
  • Work closely with internal departments to ensure that events requiring AV support run smoothly and exceeds client needs
  • Resolve guest concerns in a prompt and efficient manner, liaise with the Director of Technical Events to ensure appropriate documentation is completed as required
  • Demonstrate Fairmont core values in all interactions
  • Follow and ensure compliance with all corporate, hotel and departmental policies and procedures
  • Strict adherence to all Health & Safety training, guidelines and work practices previous, during and following an epidemic (whether local or global) that are established by Accor, local government, international bodies including the World Health Organization (WHO) and Center for disease control (CDC).
  • Perform any other duties, tasks, and assignments within your department as required.

Qualifications

Qualifications:

  • High school diploma or GED
  • Strong interpersonal, communication (verbal and written) skills
  • Proficiency in Windows OS and MS Office, particularly Excel, Outlook and Teams
  • Good knowledge of general IT and current software packages, especially related to video conferencing
  • Ability to work cohesively as part of a team in a multi-cultural, diverse environment
  • Strong work ethic, highly responsible, timeliness and Well organised
  • Experience with event planning, audio visual systems or hospitality is a plus

  • Physical Aspects of Position (include but are not limited to):

    • Sitting & Walking  6-8 hours a day.
    • Light to medium activity.
