Your purpose will be:

Job Purpose

The Food & Beverage Administrator provides administrative and operational support to the Food & Beverage department, ensuring the efficient management of purchasing, stock control, invoicing, reporting, staffing records, and compliance documentation. The role is key in supporting the day-to-day operation of food and beverage services while maintaining accurate records and contributing to departmental profitability and service standards.

Key Responsibilities

Administration & Reporting

  • Maintain accurate Food & Beverage records, databases, and filing systems.
  • Produce daily, weekly, and monthly sales, labour, and cost reports.
  • Assist with budget tracking and departmental financial reporting.
  • Prepare meeting agendas, minutes, and action logs.
  • Monitor departmental KPIs and provide performance reports to management.

Payroll & Staffing Support

  • Maintain employee records, rotas, and attendance records.
  • Support managers with recruitment administration and onboarding documentation.
  • Assist with payroll submissions, timesheets, and holiday records.
  • Coordinate training records and compliance documentation.

Compliance & Health & Safety

  • Maintain records relating to food safety, HACCP, health and safety, and licensing requirements.
  • Ensure documentation is up to date and readily available for audits and inspections.
  • Support compliance with company policies and legal requirements.

Customer & Operational Support

  • Assist with administration for events, functions, and catering operations.
  • Handle internal and external enquiries professionally.
  • Support the Food & Beverage management team with operational projects and initiatives.
  • Contribute to continuous improvement within the department.

Skills & Experience

Essential

  • Previous administrative experience.
  • Strong organisational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple priorities and meet deadlines.

Desirable

  • Previous experience within hospitality, catering, or Food & Beverage operations.
  • Knowledge of stock management and purchasing systems.
  • Experience with payroll, rota, or finance software.
  • Understanding of food safety and hospitality compliance requirements.

Qualifications

  • 2 to 3 years’ experience in 5-star luxury hotels
  • At least 1 to 2 years’ experience in a similar role
  • Creative, responsible hardworking attitude with positive work ethics
  • Ability to adapt different software’s and use Microsoft, PW, Severooms,Fetch,
  • Keen eye for detail in Menu design and grammar 
  • Passion for and understanding of 5-star hospitality restaurant experience and what it takes to deliver it
  • Empathetic with a talent for building rapport, and reading each guest’s desired level of interaction
  • Quick thinking, resourceful and able to solve problems’ at the moment
  • Ability to remain calm and courteous at all times
  • Ability to work well under pressure in a fast-paced and changing environment
  • Able to work collaboratively as part of a team
