Job Description
Ensure up-to-date knowledge of rates, packages and operational details of the hotel in order to be able to handle site inspections with the hotel’s client base.
Handle all incoming telephone calls and follow through using own initiative.
Assist in telemarketing for new clients and define their potential to the business, preparing a weekly outcome summary report DOSM.
Assist the DOSM with administration as required, maintaining electronic files of all contracts, wholesaler, group and corporate rates. Assist with any specified projects relating to internal/external promotions.
Assist the DOSM with proposals, drafting documents, mail-outs and outgoing communication material.
Ensure the hotels’ marketing guidelines and brand standards are adhered too.
Assist in the distribution of materials when required e.g. hotel brochures, sales kits for external promotions.
Complete organisation of conference activity / events from confirmation to post-event follow-up in order to ensure client satisfaction.
Co-ordinate between conferencing and other relevant departments to ensure that preparations for conferences have been made.
Attend and actively participate in daily & weekly Banquet Event Order meetings and, where appropriate, sales meetings respecting the confidentiality of issues that may be discussed formally or informally.
Assist as required in the management of food and beverage service within the conferencing and outside catering areas.
Assist in the maintenance of conference database of key contacts / clients, as well as other sales and marketing activities (prospect call, marketing activity and support when coordinated by line manager).
Preparation and follow-up of conference proposals in conjunction with the Sales Manager, covering venue, function, menu and accommodation costs.
Co-ordination and hosting of familiarization and site inspection activity including follow-up.
Qualifications
Minimum 12 months’ experience in either hotel operations or an events and sales role.
An understanding of the Hotels property management system will be an advantage, along with Microsoft Office Suite.
Bachelor or tertiary qualified hospitality qualifications
