JOB OVERVIEW


The Commercial Coordinator at Faena The Red Sea plays an essential role in supporting the Commercial team through seamless administration, client coordination, and sales organization during the pre-opening and launch phase. This position ensures the Sales team operates efficiently by managing enquiries, preparing proposals, coordinating client communications, and maintaining accurate systems and reporting.
As an ambassador of the Faena brand, the Commercial Coordinator brings professionalism, warmth, and attention to detail to every interaction, helping transform interest into confirmed business while ensuring a refined and elevated client experience.
This role works closely with Sales, Events, Revenue, Marketing, Reservations, and Operations to support revenue generation across transient, leisure, corporate, and group segments.


DUTIES AND RESPONSIBILITIES


• Provide day-to-day administrative support to the Sales team, ensuring smooth and efficient operations.
• Prepare sales proposals, contracts, presentations, and client correspondence in line with brand standards.
• Respond promptly and professionally to incoming sales enquiries and route opportunities to the appropriate team members.
• Coordinate appointments, client meetings, site inspections, familiarization trips, and sales travel schedules.
• Maintain accurate account profiles, activity logs, leads, and pipeline updates in Delphi / Salesforce CRM systems.
• Track production reports, account performance, and sales activity summaries for leadership review.
• Assist in preparing monthly reports, budgets, forecasts, and market intelligence updates.
• Support contract administration including rate loading requests, agreement follow-up, and documentation filing.
• Liaise with Reservations and Operations teams to ensure accurate handover of bookings, VIP arrivals, and client requirements.
• Assist with trade shows, road shows, networking events, and promotional activations.
• Coordinate the distribution of collateral, fact sheets, presentations, and promotional materials to clients and partners.
• Ensure all files, databases, and department records remain organized and up to date.
• Support pre-opening commercial initiatives including database building, lead generation tracking, and launch readiness tasks.
• Maintain confidentiality, professionalism, and exceptional service standards in all communications.

Qualifications

• Minimum 1–3 years of experience in hotel sales coordination, reservations, administration, or commercial support.
• Previous experience within luxury hospitality or lifestyle brands preferred.
• Strong organizational skills with the ability to manage multiple priorities simultaneously.
• Excellent written and verbal communication skills with polished client-facing etiquette.
• Detail-oriented with strong follow-up and problem-solving abilities.
• Positive, proactive, and service-driven attitude.
• Ability to work in a fast-paced pre-opening environment with agility and professionalism.
• Proficient in Microsoft Office Suite, especially Excel and PowerPoint.
• Experience with Opera, Delphi, Salesforce, Lanyon / Cvent, or similar hotel systems preferred.
• Fluent English and Arabic is mandatory.
