Job Description

The Purchase Manager is responsible for managing the hotel's overall procurement function, ensuring timely sourcing of quality materials at competitive prices while maintaining cost efficiency and compliance with hotel standards. The role oversees vendor management, purchasing strategies, inventory coordination, and procurement processes to support smooth hotel operations.

Key Responsibilities:

 

  • Develop and implement effective purchasing strategies aligned with hotel operational requirements and annual budgets.
  • Manage procurement of Food & Beverage supplies, housekeeping materials, engineering items, guest supplies, operating equipment, and general consumables.
  • Ensure timely availability of materials without affecting hotel operations and guest satisfaction.
  • Review purchase requisitions and ensure approvals are obtained as per hotel policies and authorization limits.
  • Source quality products from approved suppliers at competitive prices through effective negotiation and vendor evaluation.
  • Establish and maintain strong relationships with key vendors, monitoring their performance against agreed service levels and quality standards.
  • Manage inventory levels to optimize stock availability while minimizing carrying costs and waste.
  • Monitor procurement expenses and implement cost-saving initiatives to achieve departmental budget targets.
  • Ensure all procurement activities comply with hotel policies, legal requirements, and ethical standards.
  • Prepare regular reports on purchasing activities, vendor performance, and cost analysis for management review.

 

Qualifications

  • Bachelor’s degree in Supply Chain Management, Hotel Management, Business Administration, Commerce, or a related field.
  • Minimum 10-12 years of experience in hotel purchasing, procurement, or supply chain management.
  • Previous experience in a reputed hotel, resort, or hospitality organization preferred.
  • Strong knowledge of hotel procurement processes, vendor management, and cost control.
  • Good understanding of F&B procurement, quality standards, and market sourcing.
