Job Description

We are seeking a Reservations Coordinator with a strong focus on groups to join our Reservations team on a full‑time basis. Reporting to the Reservations Manager, this role is responsible for managing group accommodation enquiries and bookings, ensuring accuracy, maximising revenue and delivering a seamless guest experience from enquiry through arrival.

You will work closely with Sales, Conference & Events, Front Office and Revenue teams to support the successful delivery of group business, including conferences, sporting teams and corporate stays.

In this role, you will be responsible for:

  • Managing group accommodation enquiries, quotes and bookings
  • Entering, updating and maintaining reservations accurately in the system
  • Coordinating group rooming lists, contracts and billing instructions
  • Liaising with Sales, Conference & Events and operational teams to ensure smooth group delivery
  • Monitoring group room blocks, cut‑off dates and rooming list deadlines
  • Establishing and maintaining strong relationships with inbound and group business clients, ensuring high service standards, repeat business and long‑term partnerships
  • Conducting follow‑up and analysis of pending and lost group business to identify trends, improve conversion rates and support future sales strategies
  • Supporting revenue optimisation through accurate rate loading and inventory management
  • Responding to guest and client enquiries in a professional and timely manner
  • Assisting with individual reservations and general reservations tasks as required

This role is ideal for someone who is personable, detail‑focused and enjoys coordinating multiple stakeholders in a busy hotel environment.

Qualifications

We’re looking for someone with:

  • Previous experience in hotel reservations or front office roles
  • Experience handling group reservations or conference‑related bookings (highly regarded)
  • Strong organisational skills and high attention to detail
  • Confidence using hotel property management and reservations systems
  • Previous experience using Opera will be an advantage
  • Clear communication skills and a collaborative working style
  • Ability to manage deadlines and competing priorities 
  • A service‑focused mindset and genuine interest in hospitality
