Job Description

The Executive Administrative Assistant requires excellence in administrative functions and is responsible for providing comprehensive support to the Executive Team and managing the organization’s office operations.  Excellent communications skills, the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously are critical skills.

  • Undertake administrative and office management duties as assigned.
  • Has excellent calendar management skills, including the ability to coordinate complex executive meetings across multiple time-zones. In addition to this, proactive and thoughtful calendar management, building in breaks and maintaining reasonable working schedules for those you are supporting.
  • Act as a backup for the Human Resources in certain functions and when required.
  • Creates and revises systems and procedures by analyzing operating practices, record-keeping systems, forms control, supplies inventory, and office layout.
  •  Arrange and handle all logistics for travel arrangements and completing expense and mileage reports for Executive Team
  • Answers, screens, and forwards incoming phone calls
  • Process and distribute daily mail.
  • Manage all aspects of the organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as the organization grows.
  • Other projects/duties as assigned for the overall benefit of the organization.

 

Qualifications

  • Possess 2 to 5 years of practical experience as an Executive Administrative or Personal Assistant within the hospitality industry
  • Strong interpersonal skills, high level of passion and enthusiasm for the job
  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Significant executive support experience, including supporting C-level executives.
  •  Strong verbal and written communication skills.
  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Exceptional organizational skills and impeccable attention to detail.
  •  Ability to complete a high volume of tasks and projects with little or no guidance.
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint

Additional Information

Visa Requirements: Must Legally be authorized to work in the United States

  • Salary Range: $76,000-$110,000
  • Excellent Company benefits including medical, dental, vision, life insurance and 401K Retirment plan.
