Job Description

Customer Service

  • Be familiar with the content of the product delivery audit
  • Provide professional support to clients including e.g. secretarial services, photocopying, printing, laminating, binding and faxing services
  • Act as point of contact for all internal client requests
  • Deliver the Regus Customer Service standards to all Regus clients
  • Ensure all phones are answered according to the Regus script and within three rings and take and forward messages for clients as they require
  • Professional greeting to clients and usage of client names at all times to generate a professional and welcoming atmosphere
  • Set up and support meeting room and video conferencing facilities, in line with client request
  • Assist in any other area of the centre and cover other receptions in the centre as and when required

Centre Presentation (and General Housekeeping)

  • Ensure the perfect set up of products (show office, meeting room, business lounge) as per Regus Standard (product delivery audit
  • Open and close the center – e.g. reception/meeting room area - according to the Regus procedure
  • Ensure the Cyber Café/Business Lounge is fully stocked, kept clean and tidy at all times.
  • Order and restock Regus marketing collateral and ensure presentation packs are available during sales tours. 
  • Ensure anyone covering your duties receives a proper handover.
  • Ensure reception is kept tidy at all times and that all lists and forms are kept in an order that can easily be followed by other team members who may be covering in your absence.  
  • Dress code in line with Regus standard.

Centre and Client Administration

  • Be familiar with the content of the center efficiency audit
  • Maintain and update all client contact information and ensure new updates are changed accordingly as soon as details of a Virtual Office and existing office clients are received. 
  • Maintain Reception Information Sheet to capture client movements each day.
  • Complete all relevant move-in forms for new clients and for all clients.
  • Maintain accurate and tidy filing systems of Client records.
  • Document all cleaning or maintenance issues are written into the appropriate books.
  • Ensure the General Manager is immediately made aware of any problems and that these are dealt with as soon as possible.
  • Update the telephone directory/ destination sheet as and when it changes.
  • Co ordinate client requests e.g. catering orders, hotel bookings, stationery flowers etc. and document those on charge slips
  • Ensure that all incoming post is sorted promptly and accurately and the Client is informed of all arrivals
  • Frank all outgoing post correctly and ensure that it is ready for the post pick-up
  • CRM systems (PIVOTAL/Salesforce.com & ULTRABIS/Titan/ Onyx) are updated and maintained
  • Attend and contribute to monthly team meetings.

Center Operational Sales

  • Responsible for marketing own services, such as word processing to clients through flyers, understanding clients needs in order to generate center revenue.
  • Encurage client retention by ensuring customer needs are satisfied
  • Respond and convert Meeting Room orders including pre- and after-sales
  • Actively Up-sell & cross-sell  Regus products and services  to clients

Contribute to centre tours by providing Reception presentation to prospective clients.

Compliance and Safety

  • Identify and report hazards/incidents
  • Accountable for personal compliance with internal company policies, procedures and codes, for example, Team Member Handbook and all applicable external laws, regulations, standards and industry codes.
  • Monitor and deal with contractors on site informing manager immediately if there is a problem
  • Ensure that Health & safety and 10 point crisis management plan is followed e.g. first aid box
  • Being aware of the emergency team member and client evacuation standards from day one onwards
  • Participate in trial evacuations as required
  • Demonstrate a commitment towards training and development requirements

 

Qualifications

- A minimum of 3 years of experienct as CSR

- Excellecnt Computer Skills.

- Fluant Bilingual Arabic and English Communicator.
