Job Description
We are looking for a highly organised and detail-oriented Lease Administrator to support the administration of our national property portfolio. This role is responsible for maintaining accurate lease data, ensuring compliance requirements are met, and providing administrative support to the wider Property team.
This is an excellent opportunity for someone with strong administrative skills, a keen eye for detail, and the ability to manage multiple priorities in a fast-paced environment.
About the Role
As a Lease Administrator, you will be responsible for maintaining lease records, managing property-related documentation, supporting lease transactions, and responding to internal stakeholder queries. You will work closely with Leasing Managers and a range of internal and external stakeholders to ensure property processes are delivered efficiently and accurately.
Key Responsibilities
- Maintain and administer the Lease Management System and lease database.
- Ensure lease and property documentation is accurate, compliant, and up to date.
- Manage and respond to internal property-related queries.
- Review, allocate, and reconcile rent and outgoing accounts to ensure payment accuracy.
- Support and maintain property systems and processes.
- Provide administrative support to Leasing Managers as required.
- Liaise with internal and external stakeholders to facilitate property and fleet lease transactions.
- Provide guidance on property policies, procedures, forms, and processes.
- Support property projects and initiatives throughout the year.
- Respond to employee and leader enquiries in a timely and professional manner.
- Assist with process improvements and continuous improvement initiatives within the Property function.
About You
To be successful in this role, you will be a proactive and organised administrator with strong attention to detail and excellent stakeholder management skills.
Skills & Experience
- Previous experience in administration, lease administration, property administration, or a similar role.
- Experience with ProLease Enterprise (highly regarded)
- Exceptional attention to detail with a strong focus on data accuracy.
- Experience managing and maintaining large-scale systems and databases.
- Strong communication and interpersonal skills, with the ability to build relationships across all levels of the organisation.
- Ability to work independently and manage competing priorities to meet deadlines.
- A professional and confident approach when working with internal and external stakeholders.
- Intermediate to advanced Microsoft Office skills, particularly Excel, Word, and Outlook.
- A continuous improvement mindset and willingness to contribute to process enhancements.
