Job Description

Job Summary:

As the Executive Administrative Assistant at AIR Communities, you will be the right-hand person to our Assistant to the CEO and play a pivotal role in providing comprehensive support to the CEO.  This role will require a highly skilled, adaptable, and flexible individual who can seamlessly handle a wide range of administrative, organizational, and personal assistant tasks. The successful candidate will be expected to work in-office daily.

Key Responsibilities:

  • Handle confidential information with the utmost discretion and maintain the highest level of professionalism.
  • Collaborate closely with the Assistant to the CEO to efficiently support the CEO's schedule and priorities.
  • Provide extensive administrative support, including but not limited to scheduling meetings, coordinating travel arrangements, and managing email and phone communications.
  • Prepare, edit, and proofread documents, reports, and presentations for the CEO.
  • Assist in organizing and facilitating internal and external meetings, including scheduling and logistics.
  • Manage and maintain records, both digital and physical.
  • Coordinate and manage special projects and events as needed.
  • Act as the CEO's gatekeeper, screening and prioritizing requests and inquiries as needed.
  • Provide personal assistant support, such as scheduling personal appointments and completing requested daily tasks.
  • Handle any ad-hoc tasks or projects as assigned by the CEO or Assistant to the CEO.
  • Provide first line support as needed in the absence of the Assistant to the CEO.

Qualifications

  • 3-5+ years of experience as an Executive Assistant or similar role.
  • Exceptional organizational and time-management skills.
  • Demonstrated ability to utilize independent judgement and decision-making skills to effectively prioritize and balance multiple high priority tasks requested simultaneously.
  • Ability to independently self-manage and motivate to proactively anticipate needs.
  • Strong communication and interpersonal skills, with the ability to interact with individuals at all levels.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • High degree of discretion, professionalism, and integrity.
  • Regular schedule Monday-Friday 8:00 AM – 5:00 PM, however flexibility to work outside of standard business hours when necessary.
  • Adaptability to a fast-paced and dynamic work environment.

Education:

  • Bachelor's degree preferred, but not required.

  • Expected pay rate of $75,000-$90,000 plus annual bonus. You will be provided a pay rate that is in line with your skills and experience as they relate to the requirements of the job.
