Job Description


2 Positions Available. 


Outgoing Exchange Member, Exchange Participant (EP) Manager

  • Responsible for assisting and supporting EPs with the exchange
    process. They must consistently meet with assigned EPs for progress and guide them
    through the logistics of finding an internship and getting matched. It is important that EP
    managers are providing high quality servicing. Also, any other task assigned to you by
    the directors or the VP of OGX.
  • Essential Job Functions
    Pre- matching period:
    • Upload the EP forms to ep online system and myaiesec.net
    • Help EPs set up profile on myaiesec.net
    • Give the EPs the functional knowledge on how to search for internships, who to
    contact, all the forms that needs to be signed
    • Goal settings (personal and professional) with EPs
    • Find out what EPs are looking for (preferred regions, type of work, duration)
    Progress Check:
    • Create progress or tracking sheet (date of meeting with EP, list of TNs they have
    applied for, if they received a response, interviews?)
    • Weekly progress check by phone, email, or in person
    • Answer questions EPs have
    • Contact LCs when necessary if TNs do not respond back to EP
    • Motivate EPs and make sure they are applying DAILY!
    • Remind EPs of membership expiration and refund dates
    Matching Period:
    • **Assist EPs in searching for internships
    • Suggest TNs to them and apply for them
    • Ensure EPs understand the matching process
    • Inform EPs on important forms (Acceptance/TN notes)

    After matching

    • Ensure EPs are following correct matching procedures
    • Fill in the pre-measurement form
    • Ensure EPs attend OPS (Outgoing preparation seminar)
    • Inform EPs on International policies
    • Set the expectation about how to keep in touch during the internship
    • Follow up on EPs when they leave for their internship (email, phone, skype,
    postcards, facebook, msn)
    • Ask him/her to send pictures and summary about his/her experiences, post a blog,

    send postcards
    • Help in the reintegration process of the EP after the internship (post measurement,
    reintegration interview)
    General tasks
    • Regularly meeting with Director of Servicing
    • Progress check with VPOGX
    • Consistent in progress check with EPs
    • Build relationship with EPs
    • Complete checklists and measurement checklist

• Understanding AIESEC identity and the Exchange process
• Good knowledge on IXPQS (Matching process and procedures)

5. Measure of Success
• EPs are realized within 4 months (goal)
• EPs understand the procedures and policies
• EPs feel that they are serviced well
• Reintegration interviews are conducted with returnees
• Returned EPs complete a report on their trip
• Returnee event is organized wtih his/her returned EP
