Job Description

AECOM is seeking an experienced Senior Administrator to provide central administrative coordination for the UAE Government Relations function.

The role will support Dubai, Abu Dhabi, Al Ain, with primary administrative responsibility for Dubai. The successful candidate will ensure Government Relations activities are well tracked, followed up, communicated and coordinated.

Experience with technical processing on UAE government platforms would be considered an advantage, but it is not a core requirement of the role and will remain primarily within the scope of the relevant GRO team members.

Operational Control

  • Maintain an accurate view of ongoing, pending, overdue and completed Government Relations activities.
  • Monitor deadlines, expiries, renewals and outstanding actions.
  • Ensure each case has clear ownership, status and next steps.
  • Maintain accurate trackers, dashboards and administrative records.
  • Take primary administrative responsibility for an assigned UAE Government Relations entity or location.
  • Identify delays, gaps or issues requiring escalation.

Communication & Team Coordination

  • Support the effective management of Government Relations shared mailboxes.
  • Ensure incoming requests are acknowledged, assigned and followed through.
  • Review routine employee and stakeholder communications for accuracy, completeness and clarity.
  • Coordinate administrative activities across Dubai, Abu Dhabi, Al Ain and Dubai South.
  • Coordinate with HR, Recruitment, Mobilisation, Payroll and other internal teams.
  • Support consistent administrative standards across locations.

Process & Quality Improvement

  • Maintain standard templates, checklists, forms and administrative procedures.
  • Review records and documentation for completeness and accuracy.
  • Identify recurring administrative gaps and recommend practical improvements.
  • Support improvements to workflows, reporting and document management.
  • Support digitalisation and automation initiatives and help ensure new processes are adopted effectively.

 

Qualifications

Experience & Skills

  • Relevant experience in senior administration, operations coordination, HR operations or employee services.
  • Strong administrative, organisational and follow-up skills.
  • Excellent written and verbal communication.
  • Ability to coordinate multiple stakeholders and locations without formal reporting authority.
  • Strong reporting, data-management and problem-solving skills.
  • Strong proficiency in Excel, Outlook, Word, Teams and SharePoint.
  • Comfortable working with digital workflows, trackers and automation tools.
  • Government Relations or UAE immigration experience is an advantage, but not essential.
