Job Description
We are seeking a detail-oriented and organized Document Controller to join our team in Abu Dhabi, United Arab Emirates. In this role, you will oversee all documentation processes on-site, ensuring compliance with regulatory requirements and organizational standards. You will supervise documentation activities, maintain accurate records, and coordinate with site teams to ensure seamless document management throughout project execution.
- Supervise and manage all site-based documentation processes, ensuring accuracy, completeness, and timely submission
- Maintain comprehensive document control systems and filing structures in compliance with organizational and regulatory standards
- Coordinate with project teams, contractors, and stakeholders to collect, review, and process site documentation
- Ensure all project documents are properly indexed, archived, and retrievable for audit and compliance purposes
- Monitor document workflows and identify opportunities to improve efficiency and reduce delays
- Conduct regular audits of documentation practices to verify adherence to established protocols and quality standards
- Prepare and maintain documentation reports, logs, and status updates for management review
- Liaise with relevant authorities and external parties regarding documentation requirements specific to Abu Dhabi and UAE regulations
- Train and guide site personnel on proper documentation procedures and best practices
- Identify and resolve documentation discrepancies or non-compliance issues promptly
- Maintain confidentiality and security of sensitive project documents and information
Qualifications
- Proven experience as a Document Controller or in a similar document management role, preferably in a site-based environment
- Demonstrated supervisory or coordination experience managing documentation teams or processes
- Strong proficiency with document management systems and software
- Excellent organizational and time management skills with the ability to prioritize multiple tasks
- Meticulous attention to detail and commitment to accuracy in record-keeping
- Solid understanding of compliance requirements and regulatory standards in construction or engineering projects
- Knowledge of UAE and Abu Dhabi-specific documentation and compliance requirements (preferred)
- Proficiency in Aconex
