Job Description

As an Area Office Manager, you will have overall responsibility for managing offices in a local area, as well as acting as Office Manager/Local Safety Officer for your own office. You’ll ensure consistent arrangements are in place across your area to maintain a safe, healthy, efficient, and pleasant work environment, ensuring high levels of organisational effectiveness and good communication. 

As the most Senior member of the Office Management Team in your area, you will manage the 
other Office Managers and will report to the Regional Office Manager. You will work as part of a network of Area Office Managers to develop AECOM’s Culture, devising plans for a range of local 
events and initiatives to be rolled out across the area. 

You will develop your teams to deliver the Office Management function as a friendly, professional service, with consistently high standards.  Being passionate about providing extraordinary service, you will be able to work positively in a fast-paced environment.  

Responsibilities :

Office Manager 

  • You will act as Office Manager for your own office (see separate Role Description) Team Management 
  • Manage the team of Office Managers, and coach, support, and mentor them to offer valued line management of their local teams. 
  • Visit each office in your responsibility at least nine times throughout the year, to meet the local team and provide support, training and advice. 
  • Ensure that all the responsibilities of the Office Management Team are being undertaken effectively in all offices. 
  • Identify development needs for your team to help them to perform at their best and/or support their career development.  

Safety 

  • Oversee the implementation of effective measures to control Safety, Health and Environmental (SH&E) risks in the office premises (including areas around the office such as workshops, outbuildings, stores, open spaces, or parking) 
  • Review and sign off all Office SH&E Plans in your area prior to submission to the SH&E team for approval. 
  • Review Safety Observations in your area and act on any areas of concern. 
  • Participate in the quarterly reviews of observations and incidents for your offices and ensure that the team is closing these satisfactorily. 
  • Review and sign off location management action plans and local SH&E Objectives and Targets. 
  • At least quarterly accompany each Office manager on their monthly inspection of the office, providing feedback, and best practice from other offices. 

Resilience 

  • Review and align the disruptive events listed in the Office SHE Plan Appendix A. Should further disruptive events be identified seek guidance from GSR to implement. 
  • Support the office emergency response team in yearly desktop exercises, dealing with disruptive events. 
  • Provide next level management support for implementing resilience plans in the event of an incident. 

Office Management 

  • Support your Office Teams to deliver a consistent experience across AECOM. 
  • Assist your Office Teams in escalating local issues. 
  • Understand local, regional, and corporate objectives for the workplace, and implement these with your teams under the guidance of the Regional Office Manager. 
  • Provide upward feedback from the offices to the regional support teams via channels setup by the Regional Office Manager. 
  • Attend 2-4 Area Office Manager meetings per year to meet with your peers and share knowledge. 

Systems 

  • Ensure local office teams are keeping their records compliant with AECOM processes, procedures, and plans.  Support local Office Teams in preparing to present the Office Records at the annual IMS audit. 
  • Promote compliance with the Integrated Management System policies and procedures. 
  • Be a pillar of knowledge for our Office Booking Tools. Act as the second line of support to assist users with any questions, queries, or issues.  Act in the Office Booking Tools’ ‘Facilities’ role, and make changes to the booking tool to reflect changes in office layout that may occur.
  • Escalate any unresolved booking tool issues to the Supplier’s Support Helpdesk, or IT  Helpdesk, as appropriate. 

Qualifications

Qualifications & Experience

  • Proven experience in office, facilities, or workplace management, ideally within a multi-site or regional environment
  • Demonstrated experience in team leadership and line management, including coaching, mentoring, and developing others
  • Strong understanding of Health, Safety & Environment (HSE/SH&E) practices within office environments
  • IOSH Managing Safely qualification (or equivalent) – or willingness to obtain
  • Experience working within a large, complex, or matrix organisation, with exposure to multiple stakeholders
  • Ability to drive consistency and standards across multiple locations

  • Strong leadership capability, with the ability to influence and guide teams without close supervision
  • Excellent communication skills (verbal and written), with the ability to engage effectively at all levels, including senior stakeholders
  • Proven organisational and planning skills, with the ability to manage multiple priorities across different locations
  • Strong problem-solving and decision-making skills, particularly in fast-paced environments
  • Ability to build relationships and collaborate across teams and functions
  • High level of attention to detail and commitment to maintaining standards and compliance
  • Confident in managing change and continuous improvement initiatives
