A & A is searching for an experienced and reliable Executive/Personal Assistant. The Executive/Personal Assistant will work closely with the CEO as a first point of contact: including correspondence, phone calls, scheduling of meetings, events and appointments, performing personal tasks, and arranging travel, transport and accommodation. The ideal candidate is will be able to work independently with little or no supervision, be well-organized, and able to prioritize tasks in a fast-paced environment while remaining flexible, proactive, and resourceful.

Job Description

  • Provide support to the President and CEO
  • Supporting the CEO in their leadership role within the BC chapter of YPO (Young Presidents' Organization)
  • Prepare and edit various correspondence, presentations and other documents.
  • Schedule meetings and appointments, and manage travel itineraries for the CEO
  • Prepare meeting agendas and minutes from the meetings
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
  • Assure discreet handling of all company business
  • Assisting the Office Manager in day to day activities
  • Assist with personal errands and projects as allocated by the CEO
  • Other administrative duties as required.


Outcomes:

In the first 30 days you will:

  • Implement best practices for supporting the CEO
  • Implement the Assistance Track, a daily touch point with the CEO
  • Create and maintain strong relationships with management team
  • Maintain and organize the CEO's calendars on a daily basis
  • Develop and implement process to organize and maintain expense records
  • Read the book "What the Heck is EOS?" and have a working knowledge of the concepts and how they apply within our business framework

 

In the first 60 days you will:

  • Plan and coordinate meetings and events to be held offsite for 2019-2020 fiscal year
  • Has taken over full management of the CEO's calendar and scheduling
  • Has become the primary point of contact to prompt client deadlines and obtain necessary approvals
  • Read the "Book of the Quarter"

 

In the first 90 days you will:

  • Set up quarterly conversation meetings for the CEO and his staff
  • Managing and tracking expenses, invoices, accounts receivables for the CEO

Qualifications

  • Must have own vehicle, valid passport (Nexus is preferred).
  • Post-secondary education is required. Completion in an Executive Assistant program or equivalent is an asset.
  • Minimum of 3 - 5 years’ experience supporting at an executive level. 
  • High degree of diplomacy and discretion in handling business and personal matters.
  • Strong organizational and time management skills with excellent attention to detail.
  • Excellent working knowledge of Google Suite and experience using Google Apps, Slack, and web-based applications is an asset.
  • Ability to take initiative, multi-task, and work well under pressure.
  • Have an upbeat, positive, personable, can-do attitude.
  • Ability to work both independently and collaboratively within an office structure.
  • Expert levels of communication, verbal, written, and computer skills.
  • Experience in project management, event planning or event management at the executive level is an asset.
