Job Description
I. ROLE PURPOSE
The R&D Operations Coordinator serves as the "Execution Hub" for the R&D team. This role is responsible for transforming developed recipes into organizational assets (SOPs), managing costs (COGS), optimizing ingredient procurement, and overseeing project timelines. By bridging communication gaps across multiple languages (English, Vietnamese, and Japanese), the Coordinator ensures that development intents are accurately verbalized and shared to achieve seamless operational coordination with all relevant departments.
II. KEY ACCOUNTABILITIES
1. R&D Documentation & SOP Creation Create and update technical assets to ensure perfect replication of R&D developments at stores and factories.
Create and update accurate, easy-to-understand Standard Operating Procedures (SOPs) for recipes and cooking techniques.
Digitally manage development history, validation results, and ingredient formulas.
Ensure the latest recipe data is organized and accessible for organizational use.
2. Cost Management & Cross-Functional Liaison Manage financial analysis and departmental coordination to ensure menu viability and compliance.
Calculate Cost of Goods Sold (COGS) for new menu proposals and analyze food cost percentage validity.
Collaborate with the Finance (FIN) department for cost reporting.
Work with Quality Assurance (QA), Technical Development (TD), and Catalog Management Team (CMT) to ensure compliance with raw material specs, allergens, and food safety standards.
3. SCM Coordination & Procurement Optimization Facilitate the procurement of materials to support R&D trials and development schedules.
Coordinate with the Supply Chain Management (SCM) team to arrange necessary ingredients and materials for trials and new launches.
Facilitate communication with suppliers regarding sample requests and specification verifications.
Ensure procurement timing aligns with the overall development schedule.
4. Project Management & Schedule Control Monitor project lifecycles and administrative execution to prevent task omissions or delays.
Monitor deadlines for all projects, such as new menu launches, and proactively coordinate timelines.
Organize meetings and prepare minutes/summaries (PMO role).
Rapidly share decisions and "Next Actions" with stakeholders to drive execution.
5. Language Support (Interpreting & Translation) Eliminate communication gaps in a multilingual environment to preserve development intentions.
Provide professional interpreting (English/Vietnamese/etc.) during meetings and on-site activities.
Translate reports, proposals, SOPs, and technical materials to ensure accurate information flow.
Compliance & Restrictions Compliance, Safety, or Legal Responsibilities Must adhere to internal HR policies, food safety standards (QA/TD), and financial control protocols related to COGS reporting. Must comply with company policies on information security and data privacy regarding proprietary recipes.
Conflict of Interest Risks Must maintain impartiality in supplier communications and sample requests to avoid favoritism. Must disclose any personal relationships with external vendors or business partners. Restricted from accepting gifts or incentives from suppliers that could influence ingredient selection.
Confidentiality & Information Security Handles highly confidential technical assets (e.g., secret formulas, proprietary recipes, and development history). Handles sensitive financial data (e.g., COGS calculations, target margins). Information security classification: Confidential – requires secure storage, limited access, and strict adherence to non-disclosure protocols.
III. SUCCESS METRICS & KPIS
1. SOP Speed & Accuracy Measure the efficiency and quality of documentation for store implementation.
Lead time from recipe finalization to SOP completion.
Zero procedural errors upon store implementation.
2. COGS Precision Ensure financial accuracy in menu development.
Minimization of variance between theoretical and actual COGS.
Timeliness of financial reporting to the Finance department.
3. SCM & Procurement Flow Maintain continuity of development and testing phases.
Zero interruptions in development/testing due to ingredient errors or delivery delays.
4. Information Quality Ensure organizational alignment through effective administrative management.
Frequency of updates for minutes and project schedules.
Level of alignment in information among stakeholders.
Key Influencing Factors for KPI Achievement Cross-Functional Collaboration Achievement of KPIs depends heavily on collaboration with SCM, Finance, QA, and Technical Development for data sharing and compliance. Success requires timely responses from suppliers and effective partnership with Store Operations to validate SOPs in a real-world setting.
Geographic, Cultural, or Market Factors Must adapt technical communications between Japanese, English, and Vietnamese contexts to ensure development intentions are not lost in translation.

V. TOOLS, ENVIRONMENT & WORKING CONDITIONS
Systems & Tools Microsoft 365 Suite (Excel/Google Sheets – Daily for COGS), Google Workspace, and project management tools.
Work Setting Primary: Corporate Head Office / R&D Lab Secondary: Central Kitchens or Store locations for on-site validation.
Travel Expectations Occasional travel to regional sites or suppliers may be required.
VI. REQUIRED QUALIFICATIONS
Education Background Minimum: Bachelor’s degree in Business Administration, Food Science, Linguistics, or related field.
Language Proficiency Required: English & Vietnamese – Professional Proficiency (Spoken & Written). Business-level interpreting experience is required. Preferred: Japanese proficiency is a strong advantage.
VII. REQUIRED EXPERIENCE
Minimum Experience Duration 3+ years of experience.
Relevant Experience Required: Experience in interpreting/translation in a business context and high-level documentation skills. Required: Proficiency in numerical management (COGS analysis or similar financial administrative tasks).
Stakeholder Influence & Collaboration Required: Proven ability to manage interests and align expectations between diverse departments (e.g., R&D, Finance, SCM).
Industry or Domain Expertise Required: Experience in F&B, Manufacturing, or service-driven industries. Preferred: Experience in an R&D or Project Management Office (PMO) environment.
