Job Description

The primary role of the Sponsorship Representative is to promote SSMU events/activities sponsorship opportunities including (but not limited to) Frosh, Faculty Olympics, Activities Night, Life After Your Degree, Grad Frosh and any other events as specified by an executive under whose portfolio events may fall. The Sponsorship Representative is also responsible for soliciting suitable external groups to book tables at the University Centre.

1. Produce the sponsorship and handbook packages in collaboration with the SSMU Graphic Designer and to be approved by the Communication and Publications Manager;

2. Effectively manage and update the customer relationship management system (CRM);

3. Identify and solicit potential clients (local and national businesses) to promote SSMU events/activities/handbook sponsorship opportunities;

4. Deliver the sponsorship package and develop specific proposals to illustrate benefits from the sponsorship of SSMU events/activities;

5. Maintaining a professional image in all communications with clients;

6. Negotiate, prepare and follow up on contract agreements;

7. Keep updated the sponsorship reports in Vibe;

8. Coordinate with clients and SSMU internal departments the logistics related to the sponsorship event;

9. Submit plan/drawing/layout of any sponsors for approval to the Building Director and the Vice-President (Clubs and Services);

10. Coordinate external tabling booking requests through the Events Management System;

11. Provide post-event and acknowledgment reports to all sponsors of SSMU activities, as well as to the Vice-President (Internal Affairs) and Communication and Publications Manager;

12. Follow up on payments of the contracts;

13. Provide training and transition materials (contact lists, notes, etc…) to the incoming person in the position;

14. Submit an exit report before the end of the term of the contract;

15. To undertake other duties and responsibilities as may be assigned by the Communication and Publications Manager.

 

 

 

 

Qualifications

  • Experience in soliciting sponsors, cold calling, and closing sales
  • Relationship building and negotiation skills are key in this role
  • Customer service oriented
  • Excellent organizational skills and ability to prioritize tasks to ensure deadlines are met
  • Clear and concise communication skills (verbal and written)
  • Initiative and results driven oriented
  • Good communication skills both in English and French desirable
  • Knowledge of Microsoft Office: Word, PowerPoint, Outlook

Additional Information

  • Paid position: $16.48 + possibility of project-based bonus at the discretion of the Manager;
  • Hours: on average 10-12 hours per week
  • Contract: September 1st, 2019 - April 30th, 2020;
