Job Description

The Recording Secretary will be responsible for taking detailed minutes during Legislative Council meetings, Executive Committee meetings, Board of Directors meetings and General Assemblies. They will prepare document packages, set up the technical equipment before meetings and keeping records of all pertinent documents.

RESPONSIBILITIES:

1. Transcribe the minutes of Legislative Council, Board of Directors and Executive Committee meetings;
2. Transcribe the minutes of the General Assembly, which are held once per semester;
3. Submit the minutes within a timeline following the meeting to the Governance Manager;
4. Transcribe minutes of a length between 10-35 pages per meeting, depending on meeting
duration;
5. Ensure the confidentiality and integrity of meetings is maintained when transcribing minutes, especially when dealing with difficult or content-heavy meetings; and
6. Format the draft minutes in accordance with the SSMU style and formatting.

Other Responsibilities and Functions
To undertake other duties and responsibilities as may be assigned by the Governance Manager or the President.
 

Qualifications

1. Strong communication skills both in English and French an required;
2. Integrity, good planning skills, interpersonal skills, high degree of organization skills;
3. Knowledge of the SSMU website, SSMU mandates and SSMU events and activities.
4. Strong impartiality with SSMU Affairs and the highest level of confidentiality;

Additional Information

  • Paid position: $15.33/hour
  • Hours: 200 contract hours ; On average 7 hours per week
  • Contract: Mid-June 2023 – May 31st, 2024
