Job Description

Summary: The Coordinator, Constituent Records has significant responsibilities in the area of data integrity to assure that database records are updated and maintained in an accurate and timely manner, while also providing data-related support for fundraising priorities. The Coordinator is the point person for maintaining accurate and up-to-date records for alumni, parents, corporations, foundations and other friends of the University, using a variety of tools to locate updates and missing information. This position is non-exempt from provisions of the Fair Labor Standards Act (FLSA) and is eligible to earn overtime pay for additional hours worked.

Essential Functions:
• Ensures accurate and timely updates to all constituent records, including contact information, biodemographic and interest codes, relationships and freeform notes.
• Uses online research sites to acquire updated information for constituent records, including subscription services and search engines.
• Implements creative strategies for data acquisition in collaboration with the Executive Director and the Alumni Office.
• Assists in developing, applying and tracking meaningful data codes that inform fundraising strategy.
• Supports front-line gift officers by ensuring contact reports and related updates are captured.
• Implements data integrity projects as assigned.

Secondary Functions:
• Creates queries, exports and reports using the Raiser’s Edge database and the Microsoft Office software suite.
• Supervises student workers.
• Staffs university events as needed as part of the Advancement team.
• Performs additional projects as assigned.

Qualifications

Experience, Knowledge, Abilities, and Skills Required
• Proficiency and accuracy in the use of Microsoft Office products (Word, Excel, Outlook and Access).
• Experience using Raiser’s Edge software preferred, including accurate data entry and reporting.
• Excellent writing skills and ability to express complex data in easily understood manner.
• Experience data mining and translating results into useable information for purposes of university fundraising.
• Detail-oriented, with appreciation for the visual impact of documents and reports.
• Ability to follow-up and follow-through to ensure completion of goals and objectives
• Ability to balance multiple priorities in a dynamic work environment
• Excellent organizational skills and the ability to work both independently and as a member of a team.
• Excellent interpersonal and customer service skills.
• Ability to use discretion when dealing with sensitive, confidential materials.
• Flexibility to work some evenings and weekends as needed for special events and projects.
• Bachelor’s degree or the equivalent in experience and education

Physical Requirements (with or without reasonable accommodation)
• Eye-Hand Coordination: Requires hand-eye coordination and manual dexterity sufficient to operate a computer keyboard, copier, calculator and other office equipment.
• Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
• Repetitive Motion: Movements frequently and regularly required using the wrists, hands, and/or fingers.
• Average Hearing: Able to hear average or normal conversations and receive ordinary information.
• Average Visual Abilities: Average, ordinary, visual acuity necessary including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
• Physical Strength: Will regularly be required to sit, use hands to finger, handle or feel objects, tools and controls reach with hands and arms. Must be able to stand, walk, stoop, kneel, or crouch. Must regularly lift and/or move up to 20 pounds, and occasionally lift and/or move up to 30 pounds.

Work Conditions
• Work in office environment, involving contact with faculty, staff, students, parents, service providers and vendors
• Work has deadlines, multiple interruptions, high volume and may be stressful at times
• Occasional evening and/or weekend hours are required to accomplish objectives of the position.
