Job Description

The Administration assistant will be part of the wider HR and facilities team, supporting the UK office with a wide variety of queries from facilities, IT to support with writing/minute taking and other ad hoc projects. He/she will have a willingness to help with any queries but show assertiveness to enable an efficient and achievable workload. The Administration Assistant will need to have a good balance of creativity and working within guidelines.The Administration Assistant should be a completer finisher. The role within the UK office is key and plays an integral part in maintaining the company culture, though providing a fantastic service to all internal customers. The successful candidate should have a big personality, with the confidence to deal with people at all levels. The Administrative assistant should be very versatile and be able to adapt quickly. We are looking for a fun, proactive and highly organized individual to join our team.

  • Answering phones and connecting calls to the proper department
  • Taking phone messages and passing them on
  • Making travel arrangements for employees/management within all ACN offices

  • Collecting and sorting post and distributing as required
  • Communicate with and maintain positive relations with all internal and external persons
  • Writing and editing company correspondence for internal and external purposes
  • Giving feedback on office efficiency and suggesting possible improvements
  • Scheduling appointments and events between ACN Office
  • Ordering office stationery and other supplies
  • Ensuring all facilities requirements – mobile phones, handsets, computers are in good
    working order for the office

  • Preparing meeting rooms by setting up chairs and getting refreshments
  • Maintaining vendor contracts - reducing cost where possible
  • Support office with office restructuring
  • Maintain office IT equipment – record all pool equipment
  • Preparing documents by printing, copying, and binding
  • Participating in office meetings and taking meeting minutes
  • Complete the monthly newsletter for the UK/RTM office
  • Designing and implementing the office soft factor programme with the HR department
  • HR and H&S project work as required
  • Completing monthly Expenses for management
  • Global mindset and cultural sensitivity
  • Ensure responsibility is taken for H&S which impacts on the working area


Qualifications

  • Approximately 1 - 2 years of relevant work experience required

  • A understanding of best practice within an administration environment

  • Fulltime available

  • GCSE A-C or equivalent

  • Driving License
