The Executive Assistant provides a high level of organisational and administrative support for the Chief Financial Officer (CFO), and other Executive Management Board (EMB) members when appropriate. This role is to provide maternity cover for 9-12 months.
Job Description
The Executive Assistant provides a high level of organisational and administrative support for the Chief Financial Officer (CFO), and other Executive Management Board (EMB) members when appropriate. This role is to provide maternity cover for 9-12 months.
Key responsibilities:
• Executive support: managing diaries, monitoring inboxes, booking travel/ accommodation, processing expenses.
• Preparation and distribution of senior management meeting packs, e.g. EMB, Board, Audit and Risk Committee.
• Organise, attend and take minutes at internal and external meetings and essentially ensure follow up.
• Ensure that the CFO and other EMB members are well prepared and briefed for meetings, by helping to prepare research, reports, presentations, agendas and meeting papers.
• Provision of event management support for occasional activities such as conferences and events, held on site.
Qualifications
Competence, knowledge and skills:
Competence
• Previous Personal Assistant or Executive Support experience for a similar size organisation. Any previous Project Management experience would be ideal, and experience with event planning a bonus.
Knowledge and skills
• Excellent customer service skills.
• Ability to maintain confidentiality at all times and remain calm under pressure.
• Good planning and organisation skills to meet deadlines.
• Ability to take control of Board/EMB meeting organising, preparing and action tracking.
• Excellent communication skills and relationship management.
• Excellent IT skills, including Word, Excel, PowerPoint and Outlook.
• Accurate note taking skills.
• Pro-active, self-motivated and able to use initiative.
• Excellent planning/organisational skills.
• Flexible and adaptable, co-operative and supportive team player.
• Accustomed to working in a fast-paced and deadline driven environment.
